People & Credentials

One record per crew member, with every expiry date on it.

Licences, medicals, authorisations, qualifications and documents in one crew record, a tracker that lists what lapses first across the whole crew, and roles that decide who sees what.

What is inside

The crew record, and what it feeds

Ten tabs per person, each saved on its own, so a change to somebody's medical never touches their roles.

Personal and employment

Names, crew code, photo, roles, and the employment history that sets rank, base, fleet and department.

Licences and medicals

Numbers, issuing authority, class and expiry. The licence number prints on the record.

Authorisations

TRI, SFI, TRE, SFE and the ones you define. What a session checks an instructor against.

Qualifications and documents

Type ratings, passports, visas and certificates, each with its own date.

Credentials tracker

Everything with an expiry date across the whole crew, soonest first. The next thirty days is the renewal list.

Training history

Every enrolment and every result, on the same record as the licence they lead to.

Roles and permissions

A role is a named bundle of permissions. The count beside it says how many people a change affects.

Emergency contacts

Next of kin, where the people who need it can find it.

The renewal list writes itself

Licences, medicals, authorisations, qualifications and documents in one list, sorted by what lapses first. Notification rules fire on the same data, so what is on the tracker is what people are already being warned about.

  • Filter to the next thirty days for the renewal meeting
  • Recurrent checks due appear beside the paperwork
  • Reminders to the person and to whoever you name

Fig. 03The gate at booking

An instructor booked without the authorisation

When a session or a programme item needs a TRI or a TRE, Qualify checks the instructor against the authorisation catalogue as they are assigned. You decide whether that warns whoever watches compliance or blocks the booking outright.

  • Off, warn or block, set once as department policy
  • An item named to one instructor is graded by that instructor only
  • Instructors assessed on the instructor and evaluator framework carry it on their profile

Roles decide, and the screen follows

Instructors see the trainees assigned to them, trainees see themselves, simulator engineers see devices and never a grade. Change somebody's roles and what they can reach changes at once, on the web, the iPad and the phone.
